Privacy Policy

The HealthMind Counselling, Training, and Education Center (doing business as The HealthMind Clinic) is committed at the highest levels of accountability to protecting the privacy and security of our clients’ personal information in accordance with applicable provincial and federal legislation. The Privacy Policy outlines how we collect, use, and safeguard clients’ personal information in accordance with Canadian and British Columbian privacy laws.

Collection of Data

To deliver service to clients, the HealthMind Clinic collects personally identifiable information directly from clients, which can include information such as name, email address, telephone numbers, etc. This information may be provided to us verbally, in writing, or by electronic means such as email, SMS, chat, or service request form. 

Use of Personal Information

Personal information is collected for the purpose of providing service to clients in adherence with the legal and ethical obligations of the counselling and psychotherapy profession. The HealthMind Clinic does not make client information available to any outside party, except for circumstances where the HealthMind Clinic is aware of an imminent risk of harm to self or other, a risk of harm to a child aged 18 years or under or a vulnerable adult, or in the rare circumstance that the HealthMind Clinic is required to comply with a legal order. 

The use of personal information provided by professional clients accessing clinical supervision, educational, or training services may be used to provide professional clients with information on new service offerings, special offers, and other general information about professional services and events related to those previously accessed unless the professional client has opted not to receive such information. 

Consent

By providing their personal information to the HealthMind Clinic, clients consent to the collection, use, and disclosure of that information as outlined in this Privacy Policy. 

Access to Personal Information

Clients have the right to access their personal information held by the HealthMind Clinic, and to determine whether than information should be shared with anyone else. In circumstances where a file is shared with other parties, such as in couple or family therapy, all members of the party must consent in writing to any release of information. The HealthMind Clinic will comply with any written request to access information and/or signed release of information as efficiently as possible. Clients should speak directly with their counsellor or with the Clinical Director to obtain access to clinical records. 

Security

The HealthMind Clinic employs appropriate security measure to protect clients’ personal information from unauthorized access, disclosure, alteration, and destruction. 

Retention and Disposal of Personal Information

The Healthmind clinic retains client personal information only so long as necessary to fulfill the purposes for which it was collected and to comply with legal requirements. 

The HealthMind Clinic is required by law to store clinical counselling records for a period of at least seven (7) years after the most recent recorded entry, or seven (7) years after a minor child reaches 19 years of age. 

Changes to Our Privacy Policy

The HealthMind Clinic reserves the right to periodically update and revise this Privacy Policy. Any changes will be effective immediately upon posting the revised policy on our website.
