Booking, canceling, or rescheduling your appointments with us is easy and convenient. You can do it all through your secure profile on our electronic booking system . To book a first consult, you will be prompted to create a client account, which will then list all booked appointments for ease of cancelling or rescheduling. To access this system for future appointments, click the “Book Now” button on your counsellor’s profile or anywhere you see this button on our website.
Our cancellation policy is designed to ensure that our clients receive the best possible care while also respecting the time and availability of our counsellors. If you need to cancel or reschedule your appointment, we kindly request that you do so with at least 24 hours’ notice.
If a cancellation occurs within 24 hours of your scheduled session or a session is missed without notice, you will be charged to the card on file or invoiced for the full session rate, as our counselors reserve their time specifically for you and may not be able to fill that appointment with another client at short notice.
If you are ill or managing an emergency on the day of your appointment, please email your counsellor to discuss options, such as changing your appointment to a video or telephone appointment.
We currently accept payment via credit card or select debit cards that carry the Visa or Mastercard logo. We are unable to accept payment by cash, e-transfer, or cheque at this time.
Healthmind allows you to put a card on file for contactless payments. This helps keep both you and us safe, as well as spend more time with you, rather than taking a payment after your session.
Regstered Clinical Counsellors are recognized by most medical benefits providers, but the type of practitioners covered in your plan is determined by the option your employer has selected with the benefits provider. We recommend checking with your benefits provider to confirm coverage prior to booking with a Healthmind Registered Clinical Counsellor. You will be provided with a receipt that you can submit to your provider for reimbursement. We do not currently offer direct billing.
Services with graduate intern counsellors are not eligible for benefits or insurance reimbursement, but are offered at a lower cost to reduce financial barriers for those who may not have coverage or who have exceeded their coverage for the year.
